We are currently looking for a key person to fill the position of Executive Assistant to the President and Chief Executive Officer.
General responsibilities
Reporting directly to the President and CEO, the Executive Assistant to the President/CEO provides executive, administrative, and development support to the President and to the Vice-President Human Resources. The Executive Assistant serves as the primary point of contact internally and externally on all matters pertaining to the President. The Executive Assistant serves as a liaison to the Board of Directors and senior management team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
Your responsibility will therefore be to provide advanced level administrative assistance through the performance of a variety of support and social relation tasks.
Specific responsibilities:
- Provides the President and Chief Executive Officer with administrative support that may include travel planning and management of schedule and expenses;
- Coordinates and organizes the department activities to maximize efficiency and productivity, as well as helping to ensure that each person’s responsibilities are accomplished in a timely manner;
- Assist the President and CEO with the day-to-day management including schedule, e-mail, calendar and written correspondence;
- Corrects, translates and writes any text, letter, report, minutes, volumes of any kind and correspondence from drafts, recordings or texts already typed, in order to transcribe in a final format;
- Coordinates meetings/teleconference calls and ensure the preparation of supporting documents;
- Project coordination, files monitoring, archiving;
- Works closely with other assistants to share the workload in a culture of mutual respect and takes charge of specific activities organisation;
- Any other job-related tasks.
Requirements and required skills:
- Have a degree in administration;
- At least ten (10) years of relevant experience;
- Perfectly bilingual (French and English);
- Keen sense of confidentiality;
- Ability to work independently and demonstrate rigor, initiative and openness;
- Excellent ability to prioritize and manage time effectively;
- Excellent computer skills, especially with Word, Excel and PowerPoint software;
- Excellent writing, grammar and spelling skills.
